Indian Passport Services while in Germany (updated!)

Is your passport expiring soon? Need to apply for a fresh passport for your new born baby?

The Indian Embassy offer a range of services for it’s citizens in Germany, passport services, being one of them. However, depending on your place of residence, you need to avail the services from any one of the consulates in Berlin, Munich, Hamburg or Frankfurt.

Passport Services offered are as below:

General Information:

  • No prior appointment is required. The passport application can be submitted by post or in person at the Embassy on any working day.
  • All Passports will be issued only after verifying the credentials of the applicants.
  • To apply for Passport Services at the Mission/Consulate in Germany it is necessary to fill up the application online.
  • The Online application form is available at https://passport.gov.in/nri/
  • All Passports will be issued only after verifying the credentials of the applicants.
  • Consular surcharge of Euro 2.00 shall be levied on all consular services.
  • New passport can be issued one year before the expiry of the current passport.

The requirements may very slightly depending on the Consulate and the category you are applying for. So, it’s best to visit the website of the applicable consulate. However, in general you will need the following:

  • Register and fill the passport application form online at NRI Applicants
  • Thereafter, print the form, fill the rest of the columns by hand and sign the form.
  • Passport applications of minors should be signed by both parents.
  • Photographs as applicable
  • Self Attested copy of passport (laminated pages)
  • Original Passport, if applicable
  • Affidavit for damaged passport, if applicable.
  • Lost passport affidavit, if applicable
  • Meldebescheinigung (Proof of residency)
  • Copy of valid visa/ residence permit
  • Supporting documents which may include Birth Certificate, Marriage Certificate etc.

From Experience!

  • Applications can be submitted via post too. However, this is done through IGCS. * It takes around three to four weeks to receive your new passport, once the application is submitted. This is subject to whether all documents are in place or not.
  • Passport applications of minors should be accompanied by passport copies of parents, their resident permit/visa copies and Meldebescheinigung.
  • Passport for new born child will require the registration of birth first.
  • A temporary application ID will be generated, when you fill the application online. You can fill it partially and save it, and can revisit your application with the same ID. A new no. will be generated once it is completed and submitted.
  • If you are married, it is better to submit the marriage certificate too, even though it is not mentioned in the document list. They will ask for it later, and you will have to resend it by post. In case you send a soft copy, they charge you for every print that needs to be taken.
  • Do not forget to get your residence permit reissued, upon recieving the new passport.

Passport Renewal for Minors, CGI/ IGCS, Franfurt

So, recently I had to get my son’s passport renewed. Since we reside in NRW, the application had to be submitted and processed through IGCS, Frankfurt.. They are the official service provider of the Indian General Consulate in Frankfurt a.M for most consular services. This link will give you a list of all the services offered by IGCS. Note that the services offered by IGCS will not be provided by the Consulate.

So, the process is very straightforward. Here is the detailed checklist., but in short,

  1. Online Application Form
  2. Declaration by applicant’s parent or guardian
  3. Photo in Indian format 5 x 5 cm
  4. Original passport
  5. Copy of Indian Passport (First & Last page) with Signature of applicant
  6. Copy of Resident Permit
  7. Copy of Meldebescheinigung
  8. Copy of Money Transfer slip for Passport (42,00 Euros) and 19,00 Euros DHL
  9. Passport and residence permit copies of parents

Fees: Normal Passport Fee – Consulate 42,00 € + IGCS 13,50 € = 55,50 € + 19,00 € for DHL Dispatch = Total 74,50 €

Note:

  1. All documents to be self-attested. In our case, the father/ legal guardian signed all documents of the applicant. The respective parent self-attested their respective copies of passport and residence permit.
  2. If your child cannot sign yet, the Left Hand Thumb Impression must be given in the first page of the application. This is what will be printed on the passport. The last page of the application can be signed by the parent.
  3. Do not forget the Declaration Copy. This is to be signed by both parents.
  4. For the money transfer slip, you can print out the transactions details from your bank website.
  5. If you see the main post, I had mentioned about the requirement of the marriage certificate for parents. Even though, it wasn’t mentioned in the checklist, we sent a self-attested copy of the same.
  6. We also sent extra copies of the photograph apart from the one attached on the application form.
  7. Send all documents via Post with Tracking.

14-5-2023 - Status - Passport is printed and will be delivered shortly
28-5-2023 - Passport recieved
